What if I need a badge for a non-American citizen?

Please send an email to [email protected] stating that you have an applicant that requires an international background check and give us the country where the background check will need to be run. We will then supply you with the appropriate documents that will need to be completed and returned to us so that the report may be ran.

Can I use this system for other applicants besides those that work on utilities?

Yes! UtilitySafe is a program owned by eVerifile, one of the most respected background screening and automation technology providers in the industry. We are happy to assist you with all of your employment screening needs. Please contact support at [email protected] or 877-435-2041 and we will gladly assist you with screening your applicants.

Can I replace a lost badge?

You may purchase another badge for a fee of $13.00

How long does it take to get my applicant’s badge?

The background check is usually returned within 72 business hours, however it could be delayed due to the amount of counties being searched. If your applicant completes the training, testing and passed the background check, the average wait time on a badge is 5-7 business days.

How long does it take to get my account set up?

Usually, we can have your account set up on the system within 72 hours.

I already ran a background check on my applicants. Can my applicants just do training and testing?

No, the utility program requires a specific set of reports to be ordered on each applicant.

What if I mistyped the SSN or spelled an applicant’s name incorrectly?

If you have entered incorrect information for an applicant, open their file, correct the information and click the Save or Update button. Doing this will cause new background reports to run and will cost an additional $55.00. If an MVR is part of the background check, there will be an additional charge of $3.50.

Do I have to pay the set-up fee per utility?

There is a one time fee of $150.00. If your applicant needs a utility added after the badge is printed, and the background check is within 90 days of completion, you will only pay the price of the badge. If the background check is older than 90 days, you will pay the program fee of $55.00

My company operates from many locations. Can I have separate users and billing?

For your convenience our system can allow you to have several users and they can access the system from different locations.

My applicant has been denied, how can he/she be approved?

If the applicant’s consumer report is believed to contain incorrect information, please contact eVerifile to file a dispute at [email protected] or 877-435-2041.

 

What if my applicant fails the test?

The applicant will have the opportunity to answer the question until it is correct.

What are reasons my applicant can be denied to the program?

Records of any of the following infractions will be flagged during the adjudication process:

  • Any felony convictions in the previous seven years
  • Misdemeanor convictions in the previous five years

Applicants can be denied access to the utility property if they have:

  • A felony conviction within the last 7 years
  • An Active Warrant
  • An open felony court case
  • SSN discrepancy
  • Your release from incarceration within the last 5 years
  • A history of pleading guilty to felony and/or misdemeanor crimes of concern
  • Out of service area
  • An Open Court Case
  • Disqualifier
  • Background check canceled by contractor
  • Background check of concern
  • DUI conviction in last year
  • Multiple DUI convictions
  • Registered as a Sex Offender
  • Suspended or revoked driver’s license

What is the process to become UtilitySafe certified?
  1. As a contractor, you will log onto the system and input all of your applicants into the UtilitySafe system. Data will include name, DOB, SSN and address. You will then upload a tightly cropped color photo on a neutral background, excluding sunglasses and hats.
  2. You will assign your applicant to the proper utility program.
  3. Your applicants will then log onto the system and complete the test.
  4. After the investigation is complete, your application will be approved or denied access to utility property. If approved, a badge will be sent via USPS to you to disburse to your applicants. If denied, the applicant will have the ability to appeal.
What is UtilitySafe?

UtilitySafe is the premier Workforce Safety and Security Management program for utilities and the businesses that serve them.

The purpose of the program is to improve the security of utility applicants, operations and facilities. As part of these efforts, designated utility contractors, vendors and suppliers are required to comply with the program which includes:

  • Personal Screening: Contractor/Vendor Personnel are required to submit to background investigations
  • Compliance Awareness & Testing: Contractor/Vendor Personnel must complete the required safety and security awareness tests.
  • Workplace Credentialing: Contractor/Vendor Personnel are required to wear UtilitySafe ID Badges when on utility property. Badges are issued upon successful completion of background investigation and compliance testing.

How do I add a report to my dashboard?

Can a badge be transferred?

A badge cannot be transferred because the company’s information on the badge will be linked to the previous company. Your applicant will have to take the awareness test and complete background check, in order to receive a new badge.

What should I do if I am having trouble viewing the website using Internet Explorer?

Internet Explorer (version 9 and below) does not support ESL 2.0. If you are having issues accessing or viewing ESL 2.0, please upgrade your version of IE. To view which version is currently being used, click the sprocket wheel in the upper right hand corner of the browser and click “About Internet Explorer”.

What is the cost of the UtilitySafe program?

There is a one-time setup fee of $150.00. The cost per applicant is $55.00 and will include a background check, awareness training and testing, and a badge. The addition of an MVR, will add $3.50 to that package cost. This will need to be renewed every 2 years.

How do I check the status of a background check?

Please note that the average turnaround time (TAT) for a report is 3-5 business days. If your report has been pending for longer than the TAT, please contact customer support at [email protected] or 877-435-2041.

How do I unlock my account?

To unlock your account, you would need to pay your outstanding invoice by logging into your account and updating your credit card information.

How long will my password be valid?

Your password expires every 90 days.

How do I add an applicant?

Once your account is established, log in HERE with your username and password. Submitting an applicant into the UtilitySafe system will allow you to request a background check report on this individual. It is important to note that in order to have a report ordered you must enter the required government identification (i.e. Social Security Number or Supplemental Security Income Number). You will click on the add applicant button and enter data in the required fields. You will then need to click on the program button to assign your applicants to the utility programs.

Do I have to pay per area for a criminal background searches?

No. Our nationwide multi-county search will screen all counties that your applicants have resided at for the past seven years based on SSN trace.

Can everything be completed via the web?

Our system can be completely web-based and can be accessed securely from any computer at any time. Reports are ordered with a simple “point and click” ordering process and are retrieved electronically upon completion.
